Consider Intervan As Your EDI Outsourcing Partner of Choice

Ms. Ricard is an operations manager for BBS Food Distributors LLC. Her firm currently maintains EDI trading relationships with 10 key suppliers and 15 major hotel and restaurant chains in the continental U.S.

In 2001, when the need to quickly ramp up a new ebusiness infrastructure to take advantage of apparent cost and cash flow synergies as well as deliver competitive EDI services, Ms. Ricard gained approval from BSS’s executive team to establish an EDI ebusiness services function, reporting directly to her information technology manager.

Working with Brian Jensen, BSS Manager, IT, Ms. Ricard established an EDI and Ebusiness Services budget of $200,000 for 2001 to cover hiring one EDI coordinator and purchasing the required translation software to host and electronically process her ASN, PO and Invoicing documents. With the direct support of her IT staff under Brian, this new coordinator would be tasked with setting up supply chain trading relationships with key suppliers and customers by year’s end.

Pursuing this aggressive plan, Ms. Ricards was pleased to report that as of December 15, 2001 BSS had achieved all project objectives within budget and was currently processing over 7000 transactions annually. In addition to this significant accomplishment, BSS won two supplier of the year awards directly due to its new EDI services and reduced inventory and cash turnover cycle times by 85% for all goods transacted via EDI.

On top of this good news, Ms Ricards was able to reduce her budget in outlying years to just under $100,000 annually in support of necessary headcount, software maintenance and value added network transmission costs.

Yesterday’s Solution Becomes Today’s Problem.

As Ms. Ricard and her management team entered into budget discussions for 2008, it became immediately apparent that a 12% reduction in operating expenses would be required to meet corporate profit targets in light of forecasted revenue shortfalls.

To meet this challenge Ms. Ricard and her management team was tasked with reporting to executives operating cost reductions that could be realized in 1st quarter 2008 without jeopardizing service, pricing and delivery agreements already in place with key BSS customers.

One principle area of concern, voiced by Brian and his IT staff was how to keep EDI services intact while achieving cost cutting objectives. Ms. Ricard challenged Brian and his team to find a way to reduce BSS’s current $115,000 annual EDI costs, with an outsourcing strategy.

In November 2007, Brian contacted Intervan and requested an EDI outsourcing feasibility assessment and a Q1 2008 implementation proposal.

Intervan completed its initial feasibility study and offered BSS the following EDI outsourcing services proposal:

  1. Migrate all BSS maps with applications software interfaces to Intervan systems.
  2. Update communications protocols and set up secure AS2 connectivity with key retail customer accounts.
  3. Manage all trading partner communications and outsourcing project coordination activities.
  4. Integrate and provide all value added network services needed to support BSS EDI trading relationships.
  5. Maintain 24/7 customer support and help desk operations for ongoing EDI services and administration.
  6. Provide new customer and supplier expansion capabilities at current BSS service levels.
  7. Deliver a fully outsourced EDI business solution to BSS with an 80%+ reduction in annual budgeted EDI services cost by Q1 2008.
